The ADHD Brain and Time:

A Misunderstood Relationship

My relationship with time is a chaotic dance. Ever seen that meme: "You get to invite one person to a party, if they show up late you win $1,000,000, who are you bringing?" That's me. Always tagged, always late.

Turns out, it wasn't a personal failing, but an ADHD superpower (of the not-so-helpful variety). My diagnosis at 30 fin explained ally it all. The jokes about being "fashionably late" lost their charm when they translated to lost jobs.

Knowledge is power, and my diagnosis was a lightbulb moment. Now, I understand why time management felt herding cats. It wasn't laziness, it was time blindness, executive dysfunction, hyper-focus... the whole ADHD obstacle course.

Before we dive into hacks, let's unpack those time-thieves: time blindness, executive dysfunction and hyper-focus.

Understanding Time Blindness:

According to VeryWellMind, Time blindness is the inability to sense the passing of time and it can make nearly every aspect of a person’s life more difficult. The important thing to understand is that it’s more like a sensory issue, not an intentional disregard for time.

This can look like,

  • Underestimating or overestimating how much time has passed, how long a task will take, or how much time is left before an anticipated event

  • Chronically missing deadlines or arriving late, even for things you are excited about

  • Difficulty making a realistic schedule or sticking to a schedule

  • Constantly “losing track” of time

  • Frequently feeling like time is “slipping away”

When I was in high school, I was dying my hair with box color brown, I put the dye on my hair and cleaned my room. What I thought was 20 minutes had gone by, was actually over an hour and was left with jet black hair(my natural color is a strawberry-blonde). Yikes!

Understanding Executive Functioning:

Executive dysfunction is a range of behavioral symptoms that change how a person regulates emotions, thoughts, and actions.

Our brain's "organizer" is called executive function. It helps us plan, prioritize, and manage our time and tasks. People with weak executive function struggle with these skills, often getting overwhelmed and missing deadlines. The front part of the brain is key for executive function, and difficulties in this area can make it hard to focus, plan, and complete tasks.

If you have ADHD, you may notice that you struggle with problems related to executive functions, such as memory, attention, and organization.

You might:

  • Get distracted when completing tasks

  • Struggle to organize a schedule, activities, and work materials

  • Forget important dates, meetings, or appointments

  • Show up late to meetings and appointments

  • Lose essential items needed for work or daily activities

  • Lack the motivation to do certain tasks

Imagine you want to bake a cake. Executive function helps you figure out what ingredients you need (analyze), write a grocery list (plan), gather everything (organize), and follow the recipe step-by-step (manage time). It even helps you adjust if you run out of eggs (shift plans)!

The cool thing is, these skills keep developing until around age 30. But for folks with ADHD, it's like the conductor is taking a little longer to learn the ropes. This can make things like planning, staying focused, and managing emotions a bit trickier.

Here's the good news: even if your brain orchestra isn't quite Mozart yet, there are ways to improve your skills! We'll explore some awesome hacks later, but for now, remember – it's not that you can't do things, it's just that your brain might need a little extra help getting organized. And that's totally okay!

According to Dr. Russell Barkley, a leading researcher in ADHD and executive dysfunction, the core issue isn't a lack of knowledge, but rather the inability to translate that knowledge into action like procrastination and disorganization.

Understanding Hyper-focus:

Hyper-focus is the ability to achieve laser-like concentration on interesting activities, often to the point of blocking out surroundings, feelings, and time.

Hyper-focus is much a superpower as it can be a curse. The positive side especially for those of us with ADHD is that when we are in a state of hyper-focus, we are able to tune out the world and get our work done. The negative side of this is how it can lead to neglecting our bodies, tasks and deadlines.

Have you ever been in such an intense concentration where it drowns out your body's natural signals, like the need to use the restroom? Which leads to holding urine for longer than what’s recommended, potentially irritating our bladder. Yup, been there, held that! 😂

Traditional time management often fails for ADHD brains, leaving them frustrated by both rigid schedules and vague tasks, highlighting a deeper misunderstanding of how ADHD interacts with time.

Rigid schedules feel restrictive, while vague tasks leave them lost. This misunderstanding of how ADHD interacts with time leads to frustration on both sides. We'll explore these challenges in more detail next.

Rigid Schedules:

Inflexible schedules feel like trying to cage a wild mustang for someone with ADHD. Our brains thrive on bursts of energy and sudden shifts in focus, making us well-suited for tackling tasks in a more dynamic way.

Sticking to a rigid hourly plan can be stifling and lead to frustration.

A couple years ago my family and I went to Disney. My sister in law, who is super organized, meticulously planned our Disney World vacation with a jam-packed hourly itinerary. I’m talking every ride, parade, and character meet-and-greet was mapped out to maximize efficiency. This might sound like the ultimate Disney trip for some, but for someone with ADHD, it was stressful.

The carefully crafted schedule, clashed head-on with my impulsive nature of my ADHD brain. The pressure to stick to the schedule leaves no room for spontaneity. I felt rushed through attractions, barely able to savor the magic, just for us to stay "on schedule" for the next thing, least me drained. (Also, I had just ran a half marathon the day before leaving and was in pain the whole trip because of a stress fracture on my hip, which I found out after our trip.)

The rigid structure forced me to miss impromptu shows and hidden Disney details that could have made the trip truly magical. Instead of feeling the joy and wonder of Disney, I felt constantly behind and disappointed.

After that I made a mental side note to never do a vacation with a rigid schedule.

Overly Vague Tasks:

Vague to-do lists can be a recipe for disaster, leading to wasted time, money, and frustration.

They create decision overload, forcing us to constantly choose what to do next instead of focusing on completing the task. It’s like when we go to the store without a list.

Without a clear roadmap of specific items, we wander aimlessly through the store, unsure where to start. These vague lists also set unrealistic expectations.

We might intend to grab healthy ingredients for dinner, but end up with a fridge full of random snacks because we haven't defined clear goals. Plus, a bag of Birthday Cake Kit Kat’s sounded much better for dinner than a salad. Am I right? (Current fixation)

To avoid this stressful scenario, it's important to ditch the vague lists and write down specifics. This will transform your shopping trip into a more organized , less stressful, and efficient experience!

Time Management Hacks for the ADHD Entrepreneur:

Finally we now understand our brains a little more and it’s time (pun intended) to dive into the hacks!

Juggling a business with ADHD can feel like a constant mental juggling act. But fret no more, entrepreneur extraordinaire! This section dives into a toolbox of practical techniques to tame the time beast.

We'll explore methods for prioritizing ruthlessly, time-boxing tasks for laser focus, batching similar activities for maximum efficiency, and leveraging technology to your advantage.

Plus, we'll uncover the power of effective to-do lists, workspace optimization for peak productivity, and the importance of scheduling breaks to keep your energy high. Get ready to transform your time management and unleash your inner business rockstar!

Prioritization:

Conquering to-do lists can feel like wrangling a stampede of must-dos as an ADHD entrepreneur. But before we dive into specific techniques, let's address the crucial concept of prioritization.

Effective prioritization allows you to sift through the chaos and focus on the high-impact activities that truly propel your business forward. To achieve this laser focus, we can leverage a powerful tool called the Eisenhower Matrix.

Feeling overwhelmed by your to-do list? The Eisenhower Matrix is here to help! This simple tool equips you, the busy ADHD entrepreneur, to categorize tasks based on urgency and importance, ultimately allowing you to focus on the high-impact activities that drive your business forward.

Imagine the Matrix as a grid with four distinct quadrants:

  1. Do First (Urgent & Important): These tasks demand immediate attention and have significant consequences if neglected. Think looming deadlines, website outages, or critical investor meetings. These are the fire drills that need your immediate focus.

  2. Schedule (Important & Not Urgent): These tasks contribute to your long-term goals but don't require immediate action. This quadrant might hold strategic planning sessions, networking events, or content creation for future marketing campaigns. Schedule these for dedicated time slots to ensure they don't get lost in the daily hustle.

  3. Delegate (Urgent & Not Important): While time-sensitive, these tasks don't require your specific expertise. Consider delegating social media scheduling, email management, or research tasks to a virtual assistant. Freeing up your time for more strategic work.

  4. Eliminate (Not Urgent & Not Important): These tasks are neither pressing nor essential. This might include aimlessly checking social media, attending unproductive meetings, or organizing your sock drawer (unless you're a professional sock designer!). Eliminate these time-wasters to reclaim your precious energy.

Let's see this in action! Here's how a female entrepreneur might prioritize tasks within each quadrant:

  • Do First: Responding to a critical email from a potential investor inquiring about your product launch. This is a high-stakes situation demanding immediate attention.

  • Schedule: Researching and booking a speaking engagement at an industry conference several months away. Important for long-term brand awareness, but not requiring immediate action. Block out dedicated time for this research and booking.

  • Delegate: Uploading new product photos to the company website. While time-sensitive, it doesn't require your specific skillset. Delegate this task to a virtual assistant and focus on bigger picture activities.

  • Eliminate: Scrolling through endless puppy videos online (no matter how cute!). This is a classic time-waster that offers no real value to your business. Eliminate this activity and others like it from your routine.

By classifying tasks within the Eisenhower Matrix, you can make informed decisions about how to allocate your time and energy. This allows you to tackle urgent matters head-on, schedule important strategic activities, delegate less crucial tasks, and eliminate time-wasters that hinder your productivity.

Time-boxing:

Ever stare down a giant project that feels like it could swallow you whole? Yeah, us ADHD entrepreneurs know the struggle. But what if I told you there's a way to break those monsters into bite-sized chunks and actually get them done? Enter time-boxing, your new best friend in productivity land!

Think of time-boxing like this: you chop that massive project into focused sprints, each with a clear start and end time. It's like setting a timer for your brain, saying, "Okay, gotta conquer website copy for the next 30 minutes, then I can grab a coffee break!"

Here's the magic of time-boxing:

Distractions Be Gone! Knowing you only have a set amount of time for a task helps you tune out the lure of social media or that funny cat video someone just sent. Laser focus, baby!

  • Sharpen Your Focus Like a Jedi! Having a defined timeframe creates a healthy dose of pressure, (we work best under pressure don’t we?) pushing you to really dig in and concentrate on the task at hand.

  • Feeling the Accomplishment Flow! Completing tasks within those time blocks is a mini-victory every time. It keeps you motivated and excited to tackle the next one.

But how do you make time-boxing work for your ADHD brain? Here are some pro tips:

  • Be Honest About Timing: Don't fall into the trap of thinking you can write a website in 1 hour (unless you're a superhero coder, in which case, can I have your autograph?). Be realistic about how long tasks take and schedule some buffer time for the unexpected.

  • Buffer Up for Success: Think of buffer time as those little breaks between your time blocks. It's a chance to catch your breath, look at pictures of your golden retrievers, or just mentally switch gears before diving into the next task.

So, the next time you're facing a project mountain, grab your time-boxing shovel and start chipping away! You'll be amazed at how much you can accomplish when you break it down into focused sprints and celebrate those mini-wins along the way. You got this!

Batching Similar Tasks:

Juggling a million tasks at once is an ADHD entrepreneur's daily dance, but what if we told you there's a way to streamline the chaos? Buckle up because we're introducing batching, your secret weapon for conquering inefficiency!

Batching is all about grouping similar tasks together. Think of it like sorting your laundry (if you do that sort of thing) – emails with emails, calls with calls. Why? Because constantly switching between different types of tasks is a mental drain. It's like trying to have a deep conversation while simultaneously color coding your wardrobe – not exactly productive, right?

Here's why batching is your new BFF:

  • Minimize Mental Overhead: Imagine the mental gymnastics of jumping from writing a blog post to answering detailed customer emails. Batching similar tasks reduces this mental burden. You get into a groove for that specific type of work, allowing you to focus more deeply and efficiently within each batch.

  • Deeper Focus, Better Results: By eliminating the constant context switching, batching allows you to enter a state of flow. You become laser-focused on the task at hand, leading to higher quality work and fewer mistakes.

Now, how can you, the awesome female entrepreneur, leverage batching in your business?

Here are some ideas:

    • Communication Batching: Schedule dedicated blocks for emails, phone calls, and social media interactions. This allows you to give your full attention to each communication channel, preventing scattered responses and missed details.

    • Content Creation Powerhouse: Batch your content creation! Dedicate a specific time slot for brainstorming blog post ideas, another for writing drafts, and so on. This keeps you in the creative zone and avoids the dreaded writer's block in between tasks.

    • Marketing Marvel: Batch your marketing efforts! Schedule a block for researching marketing strategies, another for social media content creation, and one for analyzing campaign results. Batching keeps your marketing initiatives focused and prevents them from getting lost in the daily shuffle.

Here’s the takeaway, batching is all about finding what works best for you.

Experiment with different batch sizes and timeframes to discover your personal productivity sweet spot. So, ditch the task-hopping madness and embrace the power of batching! You'll be amazed at how much more you can accomplish when you streamline your workflow and harness the power of focused attention.

Embrace Technology:

We've talked about strategies, but let's face it, technology can be a powerful weapon in the ADHD entrepreneur's arsenal. Here are some amazing tools specifically designed to help our amazing, focused-but-easily-distracted brains:

Pomodoro Power: Ever feel like staring at a task for hours and getting nothing done? Enter the Pomodoro Technique, your new bestie for conquering procrastination!

It's a simple yet effective method that uses a timer to break down work into focused intervals (usually 25 minutes) followed by short breaks (around 5 minutes).

Here's why Pomodoro timers are magic for ADHD brains:

  • Bye-Bye Procrastination Monster: Breaking down work into manageable chunks feels less overwhelming, making it easier to just get started.

  • Laser Focus: Knowing you only have 25 minutes forces you to hyper-focus on the task at hand, maximizing your productivity within that timeframe.

  • The Reward Factor: Those short breaks become mini-rewards, keeping you motivated to power through each work interval.

Mind Mapping Magic: Do your ideas sometimes feel like a swirling vortex in your head? Mind mapping apps can be your saving grace! These tools allow you to visually organize your thoughts, brainstorm ideas, and connect related tasks.

Here's how mind maps can be a game-changer for you:

  • Marketing: Brainstorm marketing plans by creating a mind map with your target audience in the center. Branch out with ideas for different marketing channels, specific tactics, and content themes.

  • Project Management: Use mind maps to visually lay out your project plan. Start with the main goal in the center and branch out with key tasks, deadlines, and dependencies.

  • Business Brainstorming: Feeling stuck for new business ideas? Mind maps can help! Brainstorm a broad category like "new revenue streams" in the center, then branch out with potential products, services, or partnerships.

Technology is there to empower you, not replace you! Explore these tools, find what works for you, and watch your productivity soar!

Harness the Power of Lists:

We've talked about focus and technology, but there's one oldie-but-goodie tool that deserves a place in every ADHD entrepreneur's arsenal: the mighty to-do list! But let's be honest, a vague scribble on a napkin won't cut it. We need battle-tested strategies to create lists that empower us, not overwhelm us.

Here's the deal: forget those wishy-washy to-do lists filled with things like "work on website." What we need are SMART lists – Specific, Measurable, Achievable, Relevant, and Time-bound. These bad boys are the difference between staring blankly at a list and feeling the satisfying accomplishment of checking things off.

Vague List vs. SMART List:

  • Vague: "Work on website" (Ugh, where do you even begin?)

  • SMART: "Update website homepage by Friday 5 PM. Revise product descriptions and upload 3 new high-quality product photos." (Clear, actionable, and deadlines get your brain in gear!)

Now, let's optimize those lists for your ADHD brain.

Here are some pro tips:

  • Embrace Bullet Points: Bullet points are your best friend. They keep your list visually clean and scannable, preventing that overwhelming feeling of a giant text block.

  • Prioritize Like a Pro: Not all tasks are created equal. Use highlighters, stars, or numbers to visually prioritize your tasks. Tackle the most important ones first, and feel that sweet surge of accomplishment early in the day.

  • Break It Down, Break It Down!: Large tasks are the enemy of ADHD brains. Conquer them by breaking them down into smaller, bite-sized steps. Think "write blog post" is daunting? Try "research blog topic for 30 minutes" followed by "write blog outline for 45 minutes." These smaller, more achievable steps will keep you motivated and moving forward.

Daily and Weekly Wins:

  • Daily Dose of Do: Create a daily to-do list each morning that focuses on 3-5 high-priority tasks. This keeps your day manageable and prevents feeling overloaded.

  • Weekly Wins: On Sundays (or whatever your planning day is), create a weekly to-do list that outlines your bigger goals for the week. Then, during your daily planning, you can pull specific tasks from the weekly list to create your daily to-do's.

Keep in mind, your to-do list is your roadmap to success. By creating SMART lists, prioritizing visually, and breaking down big tasks, you can transform this simple tool into a powerful weapon for conquering your ADHD and achieving your entrepreneurial dreams!

Optimize Your Workspace:

Your workspace can be a battleground or a haven for your ADHD brain. Here's the truth: a cluttered workspace breeds a cluttered mind.

For us ADHD entrepreneurs, visual clutter can be a constant source of distraction, hijacking our focus and making it harder to stay on task.

The Physical-Mental Clutter Connection:

Imagine searching for a specific file amidst a desk overflowing with papers, coffee cups, and yesterday's lunch. Not exactly conducive to laser focus, right? Gives me anxiety just imagining it!

That physical clutter creates a mental burden, constantly reminding you of all the things you "should" be doing instead of the task at hand.

Transform Your Workspace, Transform Your Focus:

The good news is, you can turn your workspace into a fortress of focus! Here's how:

  • Designated Do Zone: Carve out a specific area for work. This helps create a physical and mental separation between your work life and personal life.

  • Storage Solutions are Your Superpower: Invest in organizers, shelves, and filing systems. Knowing where everything has a designated spot reduces visual clutter and makes finding things a breeze.

  • Less is More: Declutter ruthlessly! Get rid of anything that doesn't serve a specific purpose on your workspace. A clean surface translates to a calmer mind.

Bonus Focus Boost:

Consider using noise-canceling headphones to block out distracting background noises. This can be a game-changer, especially in shared workspaces or busy households.

By creating a clean, organized workspace, you're setting yourself up for success. You'll minimize distractions, reduce mental clutter, and experience a newfound sense of focus that propels you towards achieving your entrepreneurial goals.

Schedule Time for Breaks:

There's a crucial element often overlooked: breaks!

As an ADHD entrepreneur, you might feel the pressure to power through the day, but trust me, taking breaks is not a sign of weakness – it's a strategic advantage.

Here's the thing: forcing yourself to work through fatigue or distractions is a recipe for disaster for the ADHD brain. You might think you're being productive, but you're likely churning out subpar work and setting yourself up for burnout. Trust me, I learned the hard way.

Our brains function similarly to computers. Scheduled breaks are like hitting the refresh button – they clear out temporary files and allow you to work more efficiently.
